*Job Description:* As the Office Support Specialist, you will be the first point of contact at our front desk, providing administrative support across the organization and ensuring the smooth operation of our office.
You will play a role in fostering the professional image of our company.
*Key Responsibilities:* * Welcome visitors and agents, ensuring a positive first impression.
* Manage incoming calls, including answering, screening, and routing in a professional manner.
* Handle mail and package deliveries efficiently.
* Maintain office supplies, including refilling coffee station supplies, ensuring printers have paper, and keeping the office organized and tidy.
* Assist in coordinating office events, setting up for meetings, and ordering food as necessary.
* Support the organization of open houses and the preparation of binders and other presentation materials.
* Assist agents with technical support, such as connecting laptops to printers.
* Participate in the onboarding process of new hires, providing support and necessary documentation.
* Remain flexible to handle various ad-hoc projects and administrative tasks as needed.
Requirements: * Proven experience as a Receptionist, Front Office Representative, or similar role in a busy office.
* High attention to detail, organizational and time management skills.
* Strong communication and interpersonal skills, with a high proficiency in written communication, including proper grammar, spelling, and punctuation.
* Ability to work independently and as part of a team.
* High level of punctuality and reliability.
* Professional attire and demeanor.
* Proficiency in Google Suite and office management software.
* Flexibility to take on multiple tasks and adapt to changing priorities.
* Perform well under pressure.
* Problem solver that anticipates office needs.
Preferred Qualifications: * Experience in a similar business environment.
* Technical savvy, especially with office equipment and software.
* Experience coordinating events or managing office logistics.
