Position Summary Under the direction of the Chief Administrative Officer, the Contract Administrator is responsible for monitoring the overall process of contract initiation, review, execution, and confirmations.
Job Responsibilities include but are not limited to: Review, interpret and accurately describe modifications to standard and non-standard services contracts.
Compare contract scope to proposal to ensure consistency Flag any concerns or discrepancies in contracts for further review and approval Assist with customer accounts with varying and demanding service requirements.
Ensure the proper approvals are collected on contracts in line with company policies.
Follow-up on contracts to ensure proper execution within two weeks of mailing to customer Maintain and track status of contract documents.
Coordinate with customers to ensure contracts are executed prior to service.
Create and maintain Schedule of Values for each contract Scan, log, and/or file all contractual documents and correspondence Partner with customers to implement e-contracting for applicable services.
Request Certificates of Insurance from insurance agency, as needed Create and renew subcontracts including Certificates of Insurance, Workers’ Compensation checks, etc.
Calculate credit exposure and gather approval from required parties.
Maintain accurate rates, points, contract volumes, and other pertinent information in transactional database.
Work with customers on creating capacity release transactions online and awarding releases.
Partner with customers on processing name changes and assignments.
Coordinate with multiple departments to provide internal and external customers with information regarding invoicing, contractual data and other ad-hoc reports.
Act as point of contact for customer and commercial questions related to obtaining service, contract interpretation, regulations, policies and procedures.
Knowledge: High School diploma or equivalent required Work Experience: 1 to 5 years of similar or related experience Construction experience is a plus Legal background is a plus AIA Contracts preferred Skills and Competencies: General understand of contractual agreement types, contract verbiage and the underlying economic value of products, services, risks and obligations.
Excellent written, verbal and communication skills.
Detail oriented with excellent organization skills.
Proficient in working with Microsoft Office Products.
Strong analytical and customer service skills Physical Requirements 100% Office Setting, including sitting, some bending, walking and viewing.
